Learning about PF wage limits, employee deductions, employer payments and payroll rules

Provident Fund (PF) is a part of employee benefits and following the rules for payroll in India. For HR people, payroll workers and business owners knowing how to calculate PF is important to make sure salaries are handled correctly and rules are followed.

With talk about changing the EPF wage limit from ₹15,000 to ₹25,000 employers need to know how any changes officially made will impact employee eligibility, PF deductions, employer payments and monthly payroll.

This guide explains the ideas involved in calculating PF for September 2026 and the actions HR teams should take.

1. What Is Provident Fund (PF)?

The Employees Provident Fund (EPF) is a retirement savings plan run by the Employees Provident Fund Organisation (EPFO).

Both employees and employers put money into the fund according to the rules. The money saved helps employees have security in the future.

The main parts are:

Employee PF payment: The amount taken out of the employees salary.

Employer PF payment: The employers required payment.

Employees Pension Scheme (EPS): Part of the employers payment that goes to pension benefits for those who qualify.

The usual rate is 12% of the PF wages for both the employee and the employer depending on the rules and any allowed exceptions.

2. What Is the PF Wage Limit?

The PF wage limit is the amount of money used to decide if someone has to be in the EPF and how much is paid in.

The current limit is usually ₹15,000 every month. A plan to change it to ₹25,000 means employers must check the government notice, when it starts, who is eligible and how the EPFO will handle it before changing payroll.

Important: The wage limit and the actual amount used for PF payments are not always the same. Being part of the plan paying more and the plan rules can change the calculation.

3. How to Calculate PF for September 2026

When a rule change happens partway through a month HR teams must check how the rules apply to the two pay periods.

If the EPFO says to calculate for the time and after 17 September 2026 separately the payroll team should do the math for each part.

For example take an employee with a PF wage of ₹20,000.

Assume, for example that:

The old limit of ₹15,000 applies from 1 to 16 September.

The new limit of ₹25,000 applies from 17 to 30 September.

The employee is eligible for the limit.

The month has 30 days for this calculation.

There are no days without pay or other changes.

Details

PF wages for 1–16 September

₹15,000 × 16 ÷ 30

₹8,000.00

PF wages for 17–30 September

₹20,000 × 14 ÷ 30

₹9,333.33

PF wages for the month

₹8,000 + ₹9,333.33

₹17,333.33

Employee PF payment

₹17,333.33 × 12%

₹2,080.00

Under these assumptions the employees PF payment would be ₹2,080.

This is an example, not the rule for September 2026. The real amount must follow the EPFO notice and ECR instructions, including how the new date eligible wages and time framesre handled.

4. Employee PF and Employer PF: What Is the Difference?

Employee and employer payments are for reasons.

Employee payment

The employees PF payment is usually taken from their salary. At the rate it is 12% of the PF wage amount.

Employer payment

The employer usually pays at the required rate. The employers payment is split between EPF and EPS depending on the plan rules.

The EPS part is generally 8.33% of the pension wage amount based on the limit and the plan rules. The rest of the employers payment goes to EPF with charges added separately.

HR teams should not think that all the employers payment goes into the employees EPF account.

5. What Should HR Teams Check Before Processing September Payroll?

Before finishing the September 2026 PF report HR and payroll workers should check the following:

notice: Make sure the new wage limit has been officially announced and is in use.

Start date: Check the date the change begins.

Employee eligibility: Look at the employees UAN EPF membership and the rules that apply.

PF wage amount: Confirm what is included in the PF wages like pay, allowance and others.

September pay periods: Use the method for any change in the middle of the month as told by EPFO.

EPS eligibility: Check if the employee is eligible for EPS and the right employer payment.

Payroll check: Compare the employees deductions, employer payments, payroll records and the ECR before submitting.

Employee explanation: Tell the employees clearly about any changes in deductions. Give them the calculation details.

These checks help avoid mistakes, employee complaints and problems with following the rules.

6. How HRMS Software Helps Make PF Calculations Easier

Calculating PF manually can get tricky when a company has hundreds or thousands of workers with pay setups start dates, membership histories and days without pay.

A good Human Resource Management System (HRMS) can help HR teams make payroll work easier by supporting:

Automated pay and attendance calculations.

Employee-specific PF wage and payment calculations.

Payroll. Official reports.

Employee pay slips. Clear details of deductions.

Payroll. Finding any problems.

Using approved payroll rules consistently.

Hr teams must make sure any changes in the rules are correctly set up checked and tested before processing payroll.

7. Why Correct PF Calculation Is Important

PF calculations can lead to taking too little taking too much payments not matching, employee unhappiness and following the rules wrong.

For companies the best way is to use payroll settings with official rule checks and written internal checks.

September 2026 shows that changes in the rules for payroll need to be handled by HR, finance, payroll workers and the companys legal advisors.

PF calculation is not about multiplying the employees pay by 12. HR people need to know the PF wage amount, the rule limit the employees membership, the employers payment and the time when the rules change.

Before using the new wage limit in the September 2026 payroll companies should check the official EPFO notice and instructions. Correct setup, checking each employee and careful checks will help companies keep their payroll running and following the rules.
